Helly-Hansen and PPE: A Quality Manager's Inbound Inspection Checklist

When to Use This Checklist

If you've ever signed a packing slip before looking inside the boxes, this one's for you. I'm a quality/compliance manager at a workwear distributor, and I review every inbound PPE order before it goes into our warehouse—roughly 200 unique items a month. In Q1 2025 I rejected about 9% of first deliveries. Maybe 11% if you count packaging damage; I'd have to pull the exact figures. My job isn't to be the 'NO' person. It's to stop a bad first impression from reaching your customer.

Use this checklist when:

  • A pallet arrives from a new vendor, or from an existing one you're testing.
  • You're about to send PPE to a customer site.
  • You're buying a one-off run and want to catch issues before the invoice lands.

The 7-Point Inbound PPE Checklist

1. Match the product to the PO, not the packaging

Start with the SKU and the spec on your purchase order. The style number on the bag isn't enough. I once caught a batch of Helly Hansen hi vis vests that looked right on the carton, but the label said Class 1, not Class 2. The PO said Class 2. The vendor's own system showed the same model number for both, but the actual garment was different. That's the kind of mistake you only catch by opening the box and reading the permanent label.

Check the label for:

  • Model or style number
  • The declared standard for hi-vis, such as ANSI/ISEA 107-2020 or EN ISO 20471
  • The class: Class 1, 2, or 3
  • Size and care instructions

2. Verify hi-vis protection from the label and the tape

This is the step most buyers miss. They look at the color of the vest and assume that if it's bright yellow or lime, it's hi-vis. It's not that simple. ANSI/ISEA 107-2020 sets thresholds for background material and retroreflective tape. The Helly Hansen hi vis vest has to show the right amount of reflective area, in the right place, or it doesn't belong on a jobsite.

Run a quick measurement across the vest from shoulder to shoulder. Retroreflective tape width should be uniform, usually 2 inches on the bands, but the exact spec depends on the class. If a seam splits or a corner is curled, don't ship it. I'm not an ANSI auditor, so I can't speak to every test method. What I can tell you from a receiving station is this: label claims mean nothing if the tape isn't sewn straight.

3. Inspect taped seams on rainwear, not just the outer fabric

When I see a Helly Hansen Moss raincoat on a packing list, the first thing I inspect is the interior seam taping. A good waterproof fabric can still fail if the seam tape lifts. Run your fingers along the inside seams and feel for bubbles or edges that pull away. If the tape isn't bonded, water will find its way in on the first shift.

Check the hood seam and the area around pit zips separately. Those are the places where vendors cut corners because they're hard to notice in a product photo. Fold the coat once and look at the zipper teeth. Misaligned teeth mean a zipper that will fail after a month of use.

Quick note: I don't have hard data on how many raincoats fail because of seam tape versus fabric damage. Based on our 2024 returns, seam tape was the cause more often than punctures. I want to say it was close to 60%, but don't quote me on that. So I check tape first.

4. Match the glove to the hazard and the label

Gloves are the easiest category to skip, and the easiest to get wrong. For black leather gloves, I look for the cut-resistance rating if the supplier claims one, stitching at the index finger, and whether the leather flexes without cracking. A pair with loose liner fabric inside the fingers is going to come back as a complaint.

For disposable nitrile gloves, the question I hear most is: Are black nitrile gloves food safe? The answer isn't automatically yes. Color has nothing to do with food safety. You need to see the words 'food safe,' 'food grade,' or an FDA food-contact reference on the box. Under FDA 21 CFR 177.2600, the material is intended for repeated food-contact use, but a cheap black nitrile glove can be made without that compliance. So I read the carton, not the color.

This gets into chemical resistance territory, which isn't my specialty. I'd recommend asking your EHS person before switching glove types. From a quality perspective, I want the certification printed on the box to match the application.

5. Inspect safety glasses for lens defects and impact marks

Heatwave safety glasses usually come in a sealed bag. That doesn't mean they're ready to ship. I inspect the lens under bright light for scratches, coating bubbles, and uneven tint. ANSI Z87.1-rated glasses have a marking on the frame or lens. If the marking is missing, I set them aside.

Check the edges of the lens, too. Delamination starts where the lens sits in the frame. If you see a rainbow edge or a film starting to peel, the anti-fog or anti-scratch coating won't last. And check the temples. They bend easily in transit. If the temple angle is off, the glasses sit unevenly on a face, and people stop wearing them. That's a compliance problem in practice.

6. Check labels and packaging before you trust barcodes

Label errors are the most common defect I find. It's tempting to think a barcode scan is enough, but a barcode only tells you what the carton is supposed to contain. Open cartons from different layers and check the size labels on the individual items. If 200 vests have 199 identical labels and one odd label, don't assume it's fine. It might be a returned item or a mixed production run.

This is also where I catch color differences. Place two of the same style side by side under daylight. For a Helly-Hansen item, the color should match across the whole order. Use a swatch if you have one. I'd rather reject a small batch here than explain to a client why one vest doesn't look like the rest.

7. Pull samples from multiple boxes, not the top layer

The last step catches most of our rejections. Pull at least two full items from the middle or bottom of separate cartons and lay them side by side. Compare the reflective tape angle, logo position, zipper pull, and hem stitching. If something looks off, pull a third sample. If it's still off, reject the lot.

That's how I found a batch of Heatwave safety glasses where the lens tint varied from dark grey to near-clear. All the cartons had the same label. On the receiving dock, the difference was obvious. On a jobsite, it would have been an eye strain issue.

Common Mistakes I See on Receiving Docks

Don't accept a shipment 'just this once' without documenting the exception. That exception becomes the vendor's baseline. I learned this the hard way with a pallet of work gloves: I signed off without opening a carton, and two weeks later the cuff stitching started pulling apart. The rework cost more than the gloves did.

Don't rely on the sales rep's sample. The sample is the best product the factory can make. The production run is the real test. Check the actual goods.

Don't ignore look and feel. A vest with crooked reflective tape or a raincoat with a popped seam doesn't just fail functionally. It changes how your customer perceives the whole order. When a police department sees misaligned tape, they wonder what else is off. That's brand damage you can't rework.

Under OSHA 29 CFR 1910.132, employers have to make sure PPE is adequate for the hazards in their workplace. As a supplier, your receiving inspection is the first line of defense. The first visual impression is the first quality check. If a label on a Helly Hansen Moss raincoat is sewn crooked, no warranty promise will fix the customer's initial reaction.
