How to Order Workwear for Your Crew (Without Screwing It Up)

Here's the thing: ordering safety gear for a team is different than buying a jacket for yourself. Different specs, different regulations, different expectations. And when you mess up on a 30-person order, it's not just a return—it's a production delay and a lot of explaining to your supervisor.

This checklist is for anyone who's been thrown into ordering workwear for their team. Maybe you're the safety coordinator, maybe you're the foreman who got voluntold, maybe you're in procurement and just inherited a new category. Whoever you are: follow these steps, and you'll avoid the mistakes I learned the hard way.

Step 1: Write Down the Job Hazards Before Looking at Product Specs

This sounds obvious. It's not. Most of us—myself included—jump straight to brands and features. We think about which hi-vis jacket looks cool or which boot has the best traction. But that's backwards.

Before you open any catalog or website, write down the specific hazards your crew faces every day. Not generalities. Specifics:

  • Are they working in rain for hours at a time, or just walking through puddles?
  • Is the sharpest thing on site a utility knife, or are they handling rebar all day?
  • Do they need visibility at night with headlights, or just during daylight hours?
  • Is the work surface concrete, gravel, or mud?

This list becomes your filter. Every product decision comes back to: does this solve the actual hazard? Not: does this look professional? Not: is this the brand the boss likes?

Trust me on this. I once ordered an entire batch of heavy-duty rainwear for a crew that spent 90% of their time indoors in a wet process area. The most frustrating part of this process: suppliers don't always make the standard obvious on their product pages. You'd think a workwear site would list "ANSI 107 Class 3" in the title, not buried in a spec sheet. But nope. You have to dig.

Step 3: Get Sizing Right (The Hard Way)

The problem: workwear sizing is not standardized. A large in Helly Hansen fits differently than a large in Carhartt, which fits differently than a large in Dickies. And that's just within one brand—different product lines can vary wildly.

  • Get actual measurements from your crew. Not their t-shirt size. Their chest, waist, inseam, and sleeve length. Write it down. Keep it in a spreadsheet.

Checklist item: before hitting "submit order," verify that the certification mark is documented on the product page or ask for a photo of the certification stamp on the actual item. Not a screenshot of a generic compliance statement. The actual stamp.

Also: check the date. Standards get updated. ASTM F2413 was revised in 2018. If a boot claims compliance with a 2005 version, it's out of date, even if it's technically still safe. Some job sites require the most current version. Don't get caught.

Step 5: Communicate the Wear & Care Expectations

This is the step everyone forgets. The order arrives. Everyone gets their gear. And then, without clear instructions, that hi-vis jacket gets washed with bleach, or those waterproof boots get stored in direct sunlight, or those cut-resistant gloves get used as general-purpose work gloves and wear out in two weeks.

The surprise wasn't the product quality. It was how quickly the gear degraded because nobody told the crew how to maintain it.

What I do now: include a one-page wear & care card with every order. It says:

  • Hi-vis: wash in cold water, no bleach, no fabric softener. The reflective tape degrades fast with harsh chemicals.
  • Waterproof gear: reapply DWR coating every 3-6 months. Store in a cool, dry place. Not in the truck bed in direct sunlight.
  • Safety boots: clean and condition leather every 2 weeks. Replace insoles every 6 months. Don't use them as steel-toe sneakers for non-work activities.

Mistake 3: Forgetting the Spares
Plan for 10-15% extra on things that wear out fast: gloves, hi-vis vests, safety glasses. Having spares on hand when someone's gear fails means no downtime. Ordering them after the fact means a worker goes without for two days. The cost difference is minimal; the productivity difference is real.
